Refunds & cancellations

Scope

These policies apply to Feature Utilization Assessments, Workspace Activity Reviews, Instrumentation Readiness Audits, and Utilization Advisory Retainers commissioned from Virtual DevTools. They do not cover third-party software licenses or products we do not sell.

Eligibility for refunds

If we cancel an engagement before kickoff for reasons on our side, you receive a full refund of fees paid for that engagement. If you cancel more than ten business days before the agreed kickoff, prepaid kickoff deposits are refundable minus a ₩150,000 administrative fee. Cancellations inside ten business days forfeit the kickoff deposit.

Work already started

Once analysis or stakeholder sessions have begun, fees for completed phases are non-refundable. Unused later phases may be refunded proportionally if we agree in writing to stop the engagement, after deducting costs already incurred for preparation.

Retainers

Monthly retainer fees are prepaid and non-refundable for the month underway. You may cancel future months with fourteen days’ written notice before the next billing date. The three-month minimum, once started, is payable even if you pause mid-term, unless we terminate for our convenience.

Deposits and no-shows

Kickoff deposits secure calendar time. Missing a scheduled readout or workshop without at least two business days’ notice may result in a reschedule fee of ₩200,000 or forfeiture of that session’s allocated hours.

Rescheduling

You may reschedule kickoff or readout dates once without fee if you give five or more business days’ notice. Later or repeated changes may incur a reschedule fee reflecting calendar impact.

Non-refundable items

• Completed analysis hours and delivered written reports
• Travel booked with your prior approval for on-site workshops (pass-through costs)
• Administrative fee on late client-initiated cancellations as above

Refund process and timing

Email contact@virtualdevtools.digital with your engagement reference and reason. Approved refunds are processed within fourteen business days to the original payment method where possible. Bank transfers may take longer depending on your institution.

Exceptions

Statutory rights under Korean law that cannot be waived remain available. Engagement letters may set stricter or clearer phase definitions; where they conflict with this page on a paid project, the signed letter controls.
